Regulations on the Use of AI Tools in Manuscript Preparation

1. General Principle

The Editorial Office recommends that Authors refrain from using Generative AI (GAI) when creating texts. In situations where their use is necessary and justified—e.g., for generating text fragments, creating illustrations/graphics, or collecting and analyzing data—it must occur under the full supervision and control of the Authors. Authors are required to thoroughly verify all generated content and bear full responsibility for it.

Upon submission, Authors are obligated to disclose and describe in detail the scope of GAI tool usage, specifying which tools were used, in what manner, to what extent, and what impact they had on the prepared work.

2. Permissible Scope of Use

AI tools may serve authors for:

  • Refining the linguistic layer, style, and improving the clarity of the argument;

  • Structuring, summarizing, and organizing content;

  • Supporting research processes and the analysis of collected data;

  • Creating auxiliary elements, such as tables or diagrams. All the above elements require rigorous verification by the authors.

3. Key Restrictions and Prohibitions

  • Responsibility: Authors are fully responsible for every part of the publication, including those generated by AI.

  • Authorship: AI systems do not possess authorial standing and cannot be listed as authors or co-authors.

  • Ethics: It is forbidden to use AI to fabricate (create false) research results, sources, citations, or data.

  • Critical Revision: Content originating from AI must undergo authorial processing and evaluation.

4. Transparency and Information Obligation

Authors are required to disclose the use of AI in a simple way:

The name of the program (e.g., ChatGPT) should be provided, along with information about how the program was used (e.g., “language error correction” or “text summarization”).

The information should be included at the end of the work, in a dedicated section titled “Statement on AI Usage” before the bibliography.

5. Data Protection and Confidentiality

Caution should be exercised before providing AI with unpublished manuscript content, as well as sensitive, confidential, or legally/license-protected data, unless the system guarantees full security and compliance with regulations.

6. Graphics and Illustrations

If figures or other visual materials were created with the help of AI, authors must explicitly state this in the publication and ensure that these materials do not infringe on third-party rights or publishing ethics.

7. Exemptions and Sanctions

  • It is not necessary to declare strictly technical tools (e.g., spell checkers, bibliography management software) as long as they do not possess generative functions.

  • Failure to disclose the use of AI or its use in an unethical manner may result in the rejection of the manuscript or its subsequent withdrawal.
